Set out below are the terms and conditions (Terms) between the Workshop school/service/person booking in workshop (you), and Beyond The Beanstalk (us). These Terms apply to all workshops hosted by us (Workshops). When booking in a workshop you agree to be bound by these Terms.
The aim of Beyond The Beanstalk is to provide children aged from 3-18 enrolled in Education and Care Services/primary schools across Australia (such as day care, pre-schools, kindergarten, outside school hours care, vacation care, family day care, occasional care, etc.) and any other educational service with hands on and age-appropriate educational experiences in science, technology, engineering and mathematics.
By booking and participating in our workshops, you agree to abide by these terms and conditions. They are as follows;
General
Terms and Conditions
1. Supervision
-
Beyond the Beanstalk employees are not included in educator-to-child ratios.
-
Service educators must be present at all times during the workshop, ensuring compliance with correct ratio requirements.
2. Fit to Work with Children
-
All Beyond the Beanstalk staff hold a valid Working With Children Check (WWCC).
-
Services will receive the STEM presenters' WWCC numbers before the workshop.
-
In accordance with NSW Government requirements, all Beyond the Beanstalk staff are COVID-19 vaccinated to work in an educational setting. Proof of vaccination can be provided upon request, either before or on the day of the workshop.
3. Terms and Conditions
These terms and conditions are subject to change without prior notice. Thank you for your understanding and continued support.
Travel Fees

Travel fees are calculated as follows from our office in Castle Hill:
1km – 60km = $0 (ex GST)
Travel exceeding 60km is charged at $0.98 per km (ex GST) (round trip)

Accommodation costs may be added to invoices depending on the location, the number of workshops booked, and the specific area if required.
Cancellation Policy
-
Regional centre bookings require a minimum of six weeks' notice for cancellation.
Media Release
-
Media release forms will be provided to services before the workshop.
-
Both individual and whole-service media release forms will be emailed upon booking confirmation.
-
Beyond the Beanstalk staff will liaise with educators to identify children who should not be photographed.
-
By providing consent, you authorise Beyond the Beanstalk and its assignees to copyright, use, and publish photographs and video footage in print and/or electronic formats.
-
Photographs and video footage may be used for lawful purposes such as publicity, illustration, advertising, social media, and web content.
Refunds
-
Refunds will be processed promptly once client information is received and typically take up to 14 business days to be credited back to the original payment method.
-
We strive to ensure refund requests are handled efficiently and fairly.
-
Processing times may vary depending on the financial institution.

4. Terms and Conditions for STEM Workshop Deals
Booking Confirmation
-
All bookings are subject to availability and are only confirmed upon receipt of full payment or a pre-agreed deposit.

Workshops must be booked as a complete package as per the agreed deal. Individual workshops from the package cannot be separated or rescheduled outside the agreed timeline.
Payment Terms
-
Full payment or a deposit is required to secure a booking, with the balance due by the date specified on the invoice.
-
Payments can be made via bank transfer, credit card, or any other method specified in the invoice.
-
Late payments may result in booking cancellation and forfeiture of any deposits paid.
5. Cancellation and Rescheduling
Refund Policy:

4 weeks' notice: 100% refund
-
Less than 4 weeks' notice: No refund
-
Rescheduling requests must be made at least 14 days before the workshop start date and will be accommodated based on availability.
Special Offers
-
Special offers, including free additional workshops with package bookings, are valid only during the promotional period.
-
The free workshop is non-transferable and must be scheduled within the program timeline.
-
Special offers cannot be combined with other discounts or promotions.
6. Program Delivery
-
Beyond the Beanstalk will deliver all workshops as per the agreed schedule. Any changes must be agreed upon in writing.

In the event of unforeseen circumstances (e.g., instructor illness, extreme weather), Beyond the Beanstalk reserves the right to reschedule workshops with prior notice.
Liability
-
Beyond the Beanstalk takes all necessary precautions to ensure the safety and well-being of participants. However, we are not liable for any injuries, damages, or losses that occur during the workshops unless directly caused by our negligence.

Clients must inform Beyond the Beanstalk of any participant medical conditions, allergies, or special requirements before the workshop.
Intellectual Property
-
All workshop materials, content, and resources are the intellectual property of Beyond the Beanstalk and are for educational use only.
-
Clients may not reproduce, distribute, or use these materials for any other purpose without prior written consent.
Privacy
-
Beyond the Beanstalk respects your privacy and handles personal information in accordance with our Privacy Policy.
-
We will not share personal information with third parties without consent.
Amendments
-
Beyond the Beanstalk reserves the right to amend these terms and conditions at any time, with changes communicated in writing.
7. Respect for Living Creatures
-
We promote curiosity and care for all living creatures during our workshops. Any intentional harm or injury to insects or animals used in our programs will not be tolerated.
-
A penalty fee will be applied for any deliberate harm caused, covering replacement costs and maintaining the integrity of our educational program.

Bookings are confirmed only upon receipt of a booking confirmation. Bookings can’t go ahead without a booking confirmation or payment.

A Beyond the Beanstalk representative will contact you to discuss and confirm dates and times as well as which workshops you wish to participate in. This will happen within 24 hours of booking and payment.
-
The advertised price of $3,650 ex GST caters for up to and including 30 children. Any children over 30 will be charged at a rate of $9.00 per child up to a maximum of 40 children. For more than 40 children, please contact us to discuss pricing.
-
After terms and conditions have been signed, if payment is not made prior to the workshop, we reserve the right to refer to our cancellation policy.
-
After terms and conditions have been signed, and Beyond the Beanstalk or its representatives are unable to make contact with the service/school, we reserve the right to refer to our cancellation policy.
-
Collection processes will commence if no communication with Beyond the Beanstalk or its representatives has been made regarding payments that are 14 days overdue.
-
On the day of the workshop, if there is no answer to the centre phone and presenters are unable to find your service or gain entry, the workshop for that day will either be cancelled or rescheduled depending on availability.
-
If you have not provided the correct centre/school details, the workshop will not go ahead and will have to be either cancelled or rescheduled depending on availability and the discretion of the business owner.
2. Travel Fee

Travel fees are calculated as follows from our office in Castle Hill:
1km – 60km = $0 (ex GST)
Travel exceeding 60km is charged at $0.98 per km (ex GST) (round trip)
3. Payment

Once terms and conditions have been signed, an invoice will be sent to you from our accounts team, and payment will be required immediately to ensure your spot.

Workshops can be paid either online via credit card or electronic bank transfer. If you would prefer, we can issue an invoice, which can be paid via online credit card, electronic bank transfer, BPAY, or AFTERPAY.
4. Cancellation
-
In the event you need to cancel your workshop, you must contact us in writing at info@beyondthebeanstalk.com.au.

Cancellation periods are as follows:
4 weeks’ notice = 100% refund
3 weeks’ notice = 0% refund
2 weeks’ notice = 0% refund
1 week’s notice = 0% refund -
In the event of unforeseen circumstances, a make-up day may be able to be arranged. Please contact Beyond the Beanstalk via email at info@beyondthebeanstalk.com.au.

COVID-19 restrictions may affect whether a workshop can operate. If this is the case, Beyond the Beanstalk representatives will be in contact with you and will happily reschedule your workshops. Refunds will be considered on a case-by-case basis.

In the unlikely event of any changes due to unforeseen circumstances, the performance will be rescheduled, and any cancellations will be at the discretion of Beyond the Beanstalk. Fees apply in the event a scheduled performance does not proceed as per our T&C’s.
5. Workshop Requirements & Responsibilities
Space & Setup

The service must provide a suitable space for the workshop, including room for activities and seating where applicable.

Beyond the Beanstalk is not responsible for setting up or clearing the space before or after the session.
Supervision
-
At least one staff member from the centre/school must be present at all times to assist with behaviour management and ensure child safety.
Allergy & Sensory Considerations
-
Services must inform Beyond the Beanstalk at least one week before the workshop if any child has allergies, sensory sensitivities, or additional needs.
Mess & Cleanup
-
Some workshops involve water, slime, dirt, or small parts. It is the centre’s responsibility to protect surfaces if required.
6. Workshop Content & Adjustments
Content Suitability
-
Workshops are designed to be age-appropriate; however, adjustments may be necessary. Any required modifications must be communicated in advance.
Substitutions
-
Some materials, activities, or animals may be substituted due to availability, weather conditions, or safety concerns.
7. Behaviour & Participation
Engagement Expectations
-
Workshops are interactive, and children are encouraged to participate. If a child is disruptive, Beyond the Beanstalk staff may request assistance from the centre’s staff.
Hands-On Activities & Risks
-
Some workshops involve science experiments, small parts, or live animals. While safety measures are in place, Beyond the Beanstalk is not liable for injuries resulting from mishandling of equipment or animals.
-
Staff must ensure children follow all instructions.
8. Extreme Weather & Outdoor Workshops
Outdoor Workshops
-
If a workshop is booked for outdoor delivery, the centre must have an indoor backup space in case of extreme weather (rain, extreme heat, or wind). If no backup space is available, the workshop may be rescheduled.
Weather-Dependent Materials
-
Some experiments or activities may be affected by extreme temperatures (e.g., ice-based or solar experiments). Adjustments will be made accordingly.
9. Media & Photography
Photographs & Videos
-
Beyond the Beanstalk may take photos or videos during workshops for promotional purposes.
-
If your service does not consent, you must notify us in writing before the workshop.
10. Live Animal Handling & Responsibilities
Handling Rules
-
Children must follow strict handling guidelines when interacting with live animals.
-
Beyond the Beanstalk presenters reserve the right to restrict animal interaction if safety concerns arise.
Animal Welfare
-
If an animal shows signs of stress or illness, Beyond the Beanstalk may adjust or cancel the handling portion of the workshop. No refunds will be issued in these cases.
-
If a workshop involves live animals or specialist equipment, and children hurt, kill, or deliberately break equipment, the Beyond the Beanstalk staff member reserves the right to stop the workshop immediately.
Centre’s Responsibility for Animal Care
-
If a service opts to keep a live animal after a workshop, they must read and adhere to the provided care sheets.
-
It is the service’s full responsibility to care for the animal correctly.
-
If an animal passes away after Beyond the Beanstalk has left, the service will be charged for a replacement.
11. Staff and Safety
-
If Beyond the Beanstalk staff feel unsafe for any reason, they reserve the right to cancel the workshop immediately.
-
Services must ensure a safe and controlled environment for all workshops to proceed smoothly.
Individual Workshops

Beyond the Beanstalk will contact you within 7–14 days of your booking to confirm participant numbers and age group.

Any children exceeding 30 will be charged at a rate of $9.00 per child, up to a maximum of 40 children. For more than 40 children, please contact us to discuss pricing.

If, on the day of the workshop, presenters cannot gain entry to the centre due to incorrect details or an unanswered phone, the workshop will be cancelled or rescheduled depending on availability.
-
If incorrect centre/school details are provided, the workshop will not go ahead and will either be cancelled or rescheduled at the discretion of Beyond the Beanstalk.

6 Week Program

Bookings are confirmed only upon receipt of a booking confirmation. Bookings can’t go ahead without a booking confirmation or payment.

A Beyond the Beanstalk representative will contact you, to discuss and confirm dates and times as well as which workshops you wish to participate in. This will happen within 24 hours of booking and payment.

The advertised price of $2750 ex GST caters for up to and including 30 children. Any children over 30 will be charged at a rate of $9.00 per child up to a maximum of 40 children. For more than 40 children please contact us to discuss pricing.

After terms and conditions have been signed, If payment is not made prior to workshop we reserve the right to refer to our cancellation policy,

After terms and conditions have been signed and Beyond the Beanstalk or its representatives is unable to make contact with the service/school we reserve the right to refer to our cancellation policy.

Collection processes will commence if no communication with Beyond the Beanstalk or its representatives has been made in regard to payments that are 14 days overdue.

On the day of workshop if there is no answer to centre phone and presenters are not able to find your service or cannot gain entry to service, the workshop for that day will either be cancelled or rescheduled depending on availability.

If, on the day of the workshop, presenters cannot gain entry to the school due to incorrect details or an unanswered phone, the workshop will be cancelled or rescheduled depending on availability.

STEM CAMP
Terms and Conditions
1. Introduction

These Terms and Conditions govern participation in the Beyond the Beanstalk STEM Camp . By enrolling, you confirm that you have read, understood, and agree to comply with these terms and conditions.
2. Registration & Payment

To secure a place in the Camp, a completed registration form and full payment must be submitted.

Payments must be made online via the designated payment platform. Alternative payment methods are not accepted.

All fees are non-refundable except under circumstances outlined in our Cancellation Policy.

Registration is only confirmed upon receipt of full payment and a confirmation email from Beyond the Beanstalk.

Any outstanding payments may result in cancellation of the booking without notice.
3. Camp Location & Timings

The STEM Camp will take place at Vineyard Public School.

Camp hours are from 8:30 AM to 3:30 PM.

Parents/guardians must ensure their child is dropped off and picked up on time.
4. Cancellation & Refunds

Cancellations made more than 14 days before the Camp start date will receive a 50% refund.
-
Cancellations within 14 days of the Camp start date are non-refundable.
-
Beyond the Beanstalk reserves the right to cancel or reschedule the Camp due to unforeseen circumstances (e.g., low enrolment, extreme weather, health-related concerns). In such cases, participants will receive a full refund or have the option to transfer to another session.

If a participant is unable to attend due to illness, a credit may be provided for a future camp, subject to medical documentation.
5. Participant Requirements

The Camp is designed for children aged 5-12 years old.

Participants must adhere to all Camp rules and instructions provided by staff.

Any behavioural issues that disrupt the experience for others may result in removal from the Camp without refund.

Participants must wear appropriate clothing with closed in shoes and bring necessary items, including lunch, water bottles, and any required personal belongings.
6. Food & Allergy Policy

Parents/guardians must provide their child with a packed, nut-free lunch and snacks.

Beyond the Beanstalk is not responsible for providing meals or snacks.

Any allergies or dietary restrictions must be disclosed at the time of registration.
7. Medical & Special Needs

In case of an emergency, first aid will be administered, and emergency services will be contacted if required.

Epipens, asthma inhalers, or any critical medical supplies must be provided by the parent/guardian and labelled appropriately.

Parents/guardians must ensure their child is signed in and out each day by an authorised adult.

10. Late Pick-Up Policy

Prevent situations that may place a child at risk of abuse or harm and report any concerns immediately.

Treat all children fairly and equally, avoiding any unfair treatment or favouritism.

Avoid one-on-one situations with children. If unavoidable, inform other staff members and ensure visibility.

Never physically punish a child. Any necessary restraint must comply with industry and legal standards.

Use age-appropriate language and avoid discussions involving inappropriate, discriminatory, or violent references.

Maintain professionalism in all interactions with children and their families and avoid any exploitation of position.

Use social media responsibly and do not engage in direct online communication with children under 16.

Never attend work under the influence of illegal drugs or alcohol, nor supply them to children.

Parties
Terms and Conditions
1. General Responsibility
The party host is responsible for providing the following:

Tables, chairs, and seating for all attendees.
-
Undercover areas if required, in case of adverse weather conditions.
-
A suitable area for the activities to be run. Please ensure the space is sufficient and appropriate for the activities, especially if any are messy (such as slime) that may affect surfaces.
Beyond the Beanstalk is not responsible for these arrangements.
2. Party Activities
-
The host must specify which activities are being booked at the time of the reservation.
-
Any activity involving Bugs must be scheduled first to ensure the overall health and safety of the Bugs.
-
Beyond the Beanstalk staff are responsible for running the activities but do not supervise attendees during the party. Party supervision is the responsibility of the host and other parents or guardians present.
3. Numbers & Staffing
-
A general estimate of the number of children attending is required at the time of booking for staffing purposes.
-
The final participant numbers must be confirmed no later than 7 days prior to the party date. If numbers change after this point, Beyond the Beanstalk will do its best to accommodate changes, but additional fees may apply.
4. Food & Consumables

Beyond the Beanstalk is not responsible for any food, beverages, or consumables at the party. The party host is responsible for ensuring any food items are appropriate and safe for the children attending.
5. Photography
-
Photography of the Beyond the Beanstalk Party Presenter is permitted, and photos may be used for social media and promotional purposes.

Beyond the Beanstalk is not responsible for photographs taken by others at the event, including guests or the host. Any such photos are the sole responsibility of the individual taking them.
6. Participation

If a child does not wish to participate or take home the activity, Beyond the Beanstalk will not follow up with the child or the family after the party.

The host or other guardians are responsible for managing any non-participating children during the activities.
7. Event Coordination & Supervision

Beyond the Beanstalk staff are responsible for conducting the activities but are not responsible for general supervision of the children during the party.

The host and other responsible adults are expected to supervise and ensure the safety of the children outside of the scheduled activities.
8. Parking & Access

Parking availability is the responsibility of the host. The party host must provide information about the best parking location at the event venue. This includes instructions on where the Beyond the Beanstalk staff should park to facilitate the transport of any required equipment and materials.

If parking arrangements are not clearly communicated, Beyond the Beanstalk will not be held accountable for any issues or delays caused.
9. Safety & Health

In the event of any medical emergency, the host must have adequate first aid supplies available and take immediate action as necessary. Beyond the Beanstalk staff will assist in providing support during the activities, but overall health and safety are the responsibility of the party host and guardians.
10. Behaviour Expectations
-
The party host must ensure that all children and attendees behave appropriately during the event. If a child is disruptive or poses a risk to others, Beyond the Beanstalk staff may request that the child is removed from certain activities. The host will be responsible for ensuring the child’s behaviour is managed appropriately.
11. Changes or Cancellations
-
Changes to the party booking must be made in writing to info@beyondthebeanstalk.com.au at least 7 days prior to the event.

Cancellations or changes made after this time may result in a fee, depending on the circumstances.
12. Liability

Beyond the Beanstalk is not responsible for any injury, loss, or damage to attendees, their property, or any external property during the party.

The party host agrees to indemnify Beyond the Beanstalk against any claims arising from the event.
Professional Development
Terms and Conditions
1. General Participation

Participants will engage in hands-on learning activities that involve physical tasks.
-
Teamwork is encouraged, and participants are allowed to collaborate to achieve completion. However, they are not required to physically perform all tasks themselves to achieve the outcomes.
-
A minimum of 4 participants is required for the professional development session to proceed. If the minimum number of participants is not met, Beyond the Beanstalk reserves the right to reschedule or cancel the session.
2. Breaks & Refreshments
-
Break times will be provided during the event; however, Beyond the Beanstalk will not supply food or beverages.
-
If participants choose to work through the scheduled break, they do so at their own discretion, and Beyond the Beanstalk cannot guarantee additional breaks during the planned activities.
3. Certificates of Completion
-
All participants will receive a completion certificate via email within 7 days of the event.
-
If the service coordinator requires a copy of the certificate for each participant, they must inform Beyond the Beanstalk in advance and provide a complete list of participants, as attendees may come from various centres. Beyond the Beanstalk is not responsible for knowing which service each participant represents.
4. Alcohol Policy

No alcohol is to be consumed during the professional development event. If a participant is suspected of consuming alcohol or being under the influence, they will be asked to leave immediately.

Beyond the Beanstalk reserves the right to end the session early if any participant's behaviour is deemed inappropriate due to alcohol consumption or other disruptive behaviour.
5. Health & Safety

Health and safety measures will be in place during the event to ensure a safe and productive environment. Participants must follow all instructions provided by Beyond the Beanstalk staff.

Beyond the Beanstalk will not be responsible for injuries that occur as a result of improper handling of materials or failure to follow safety protocols.
6. Professional Behaviour

Participants are expected to maintain professional conduct throughout the event. Beyond the Beanstalk reserves the right to remove any participant whose behaviour disrupts the event or violates the terms and conditions.
7. Event Modifications

Beyond the Beanstalk reserves the right to modify the event if necessary, due to unforeseen circumstances such as weather or availability of resources.

Participants will be informed of any significant changes as soon as possible.
8. Payment & Cancellation

Full payment is required to confirm participation in the Professional Development session.

Cancellations or rescheduling requests must be made at least 7 days in advance in writing to info@beyondthebeanstalk.com.au. Cancellations made less than 7 days prior to the event may incur a fee or be subject to rescheduling.
9. Venue & Parking Requirements

The service hosting the professional development session must provide accessible parking with adequate space to ensure the event runs smoothly.

The venue must have enough room for all planned activities and equipment, with adequate space for participants to engage comfortably.

It is the responsibility of the service to inform Beyond the Beanstalk of the most suitable parking area and unloading zone prior to the event.
10. Liability

Beyond the Beanstalk is not liable for any injuries, damages, or losses incurred by participants during the professional development session.

Santa Christmas Packages
Terms and Conditions
1. Bookings

Bookings can be made online at www.beyondthebeanstalk.com.au or via telephone at (02) 7205 3734.

Bookings are confirmed upon receipt of payment.

A booking confirmation will be provided once payment is processed. Santa packages cannot proceed without a booking confirmation.

Beyond the Beanstalk will contact you within 7–14 days of your booking to confirm details such as participant numbers and event requirements.
-
If, on the day of the event, Santa's entry is blocked due to incorrect details or an unanswered phone call, the event will be cancelled or rescheduled depending on availability.
-
Any inaccurate details regarding the venue or participants may result in the event being cancelled or rescheduled at the discretion of Beyond the Beanstalk.
2. Travel Fee

Travel fees are calculated from Castle Hill as follows:
1km – 60km = $0 (ex GST)
Travel exceeding 60km is charged at $0.98 per km (round trip, ex GST).
3. Payment

Once terms and conditions are signed, an invoice will be issued by our accounts team.

Payment must be made immediately to secure the booking.

Payment options include:

COVID-19: If restrictions prevent the event from proceeding, Beyond the Beanstalk will reschedule or, if necessary, process refunds on a case-by-case basis.
5. Event Requirements & Responsibilities
Space & Setup

The venue must provide a suitable space for Santa’s activities, including a designated changing area where Santa can change and store his personal belongings.
-
There must be sufficient space for Santa to walk into the centre and reach his seat, ensuring a comfortable distance between him and the children. This ensures better photo opportunities and avoids crowding.
-
Beyond the Beanstalk is not responsible for setting up or clearing the space before or after the event.
Supervision
-
At least one staff member from the centre must be present at all times to assist with behaviour management and ensure child safety.
Personalised Presents
-
If the centre requests personalised presents for the children, a complete list of children’s names must be provided to Beyond the Beanstalk ahead of the event. This allows Santa to be well-prepared and ensures he is not searching for presents during the event.
Candy Canes & Gift Distribution
-
Beyond the Beanstalk will provide candy canes for all children at the event. If you do not wish to use candy canes, please notify Beyond the Beanstalk in advance or arrange an alternative gift for Santa to distribute.
6. Photography & Media
-
Beyond the Beanstalk may use photos and videos taken during the event on social media or for promotional purposes. If you do not consent, please inform us in writing prior to the event.
7. Behaviour & Participation
-
Santa packages are designed to be interactive. If any child is disruptive or engages in inappropriate behaviour, Beyond the Beanstalk staff may request assistance from the centre’s staff.

Beyond the Beanstalk staff will oversee the event, but the centre’s staff is responsible for ensuring children adhere to safety guidelines.
8. Parking & Venue Availability
-
The centre must provide accessible parking and adequate space to allow Santa to enter and exit the venue easily.
-
Santa should have a clear path to the event area without interference from children or obstacles.
9. Liability

Beyond the Beanstalk is not liable for any injuries, damages, or losses incurred during the Santa event.
